This policy describes how internal operational software applications ("Applications") operated by Fuel Supplements ("the Company") handle data.
Scope
This policy applies only to internal-use Applications operated by Fuel Supplements for managing inventory, order fulfillment, accounting integrations, and related business operations. This policy does not govern the fuelsupplements.com storefront, which is subject to a separate customer-facing privacy policy.
Data Processed
The Applications process business operational data, including but not limited to: Amazon Seller Central order and settlement data, Lightspeed Retail inventory and point-of-sale data, QuickBooks Online accounting data, and Shopify store operational data. The Applications do not collect or store personally identifiable information of retail customers beyond what is necessary for order fulfillment and accounting reconciliation. Individual buyer personal information from marketplace orders is not retained beyond what marketplace platforms provide in their standard order data feeds.
Data Retention
Operational and accounting data is retained for a minimum of seven (7) years to satisfy Canada Revenue Agency record-keeping requirements (six-year minimum plus a one-year buffer). Application logs are retained for ninety (90) days.
Data Sharing
No data processed by the Applications is shared with third parties. All processing is internal to Fuel Supplements operations. The Applications connect to authorized third-party platforms (Amazon, Lightspeed, QuickBooks, Shopify) solely to perform their operational function, governed by the terms and privacy policies of those platforms.
Security
The Applications are hosted on Cloudflare Workers infrastructure with encryption in transit (TLS 1.3) and at rest. Access is restricted to authorized Fuel Supplements personnel via authenticated login.
Incident Response
Security incidents are addressed by the Application operator. Affected parties, if any, will be notified in accordance with applicable Canadian privacy legislation.
